Available Credit Cards
Listed below are three credit card options for travel-related purchases. After reading the descriptions, use the Helpful Hints Travel Table to determine whether one of these cards or your personal credit card is the best choice for your situation. (If a personal credit card is used, follow reimbursement instructions at the Travel Reimbursement web site.) Use the left side menu for complete details about each card listed below. SMALL PURCHASE CREDIT CARD (SPCC)
The SPCC is administered by the Purchasing department and issued by the University to individual cardholders who have completed a request form and appropriate training. If the SPCC is used to pay for travel expenses AND the travel involves day-only travel exceeding $500 or an overnight stay, a completed Request for Travel form must be attached to the SPCC log sheet.
The SPCC may be used to pay for the following travel expenses:
- Conference Fees
- Public Transportation Fares (airline tickets, shuttle services, rail tickets - including VRE)
- Membership Dues
- Subscriptions
The SPCC may not be used to pay for the following:
- Hotel Expenses
- Car Rentals
- Meal Expenses
- Any Expense charged to a Fund starting with an "8"
Although charges may go through, the State has deemed these non-allowable expenditures on the SPCC. You will be responsible for reimbursing UMW and attaching proof of reimbursement to the SPCC log. You may then seek proper reimbursement for the expense (see Reimbursements). Details regarding SPCC can be found on the Purchasing web site.
UMW FINANCE CARD
The UMW Finance Card is administered by the Finance department, is paid directly by UMW and may be signed out to pay for the following:
- Business Meals
- Travel-related expenses when traveling with students
- Other expenses as defined on the UMW Finance Card site
TRAVEL CARD
The Travel Card is administered directly by Bank of America and the cardholder pays Bank of America directly. The Commonwealth offers this option in order to eliminate cash advances and solve the problem of employees not having credit available on their personal cards for business travel expenses. The Travel Card is essentially a personal credit card:
- You apply for the card based on your personal credit history;
- The bill is sent to your home address;
- You are personally responsible for paying the bill on time; and
- Failure to pay based on Bank of America's terms may negatively affect your personal credit.
- UMW will withhold from your Payroll past due amounts.
