Administrative Assistant to the Director of Museum Services

EXPERIENCE BEHIND-THE SCENES AT A MUSEUM!

The Asian Art Museum of San Francisco offers an exciting opportunity for a highly skilled, organized, and motivated individual to provide support to exhibition planning and coordination at our spectacular facility in Civic Center. The incumbent, reporting to the Director of Museum Services (DMS), will perform a variety of administrative tasks related to exhibitions and the management of art collections. This position involves contact with a wide range of individuals both internal and external to the museum.

EXAMPLES OF DUTIES

*Assists the DMS with the exhibition proposal review process; gathers additional information from organizing institutions, creates fact sheets, and tracks and organizes materials.

*Assists the DMS with exhibition planning and production by performing a variety of administrative tasks including maintaining, updating, and distributing detailed, illustrated object lists using database software; preparing and maintaining exhibition documents including checklists,
timelines, contracts, and indemnity applications; arranging shipments of museum?produced catalogues and exhibition?related material to lenders and external exhibition partners.

*Assists the DMS with outbound exhibition marketing and provides support to host venues; fields questions, prepares and sends materials, facilitates review of host venue collateral materials.

*Coordinates maintenance and organization of filing systems related to the museum?s collection, donor and dealer records, and exhibition information.

*Assists with exhibition?related meetings by scheduling, preparing meeting materials, taking notes, and producing and distributing minutes.

*Makes travel arrangements for guests of the museum including exhibition couriers, guest curators, officials from other museums, and artists.

*Manages daily office operations for Museum Services and provides secretarial support to DMS; answers telephone; schedules meetings; processes mail and a variety of standard forms including timesheets, purchase orders, requisitions, and check requests.

MINIMUM QUALIFICATIONS

*Bachelor?s Degree from an accredited institution.

*Three (3) years of related work experience; or an equivalent combination of education, training, and experience.

*Exceptional administrative skills; extremely organized, detail-oriented, and accurate.

*Excellent word processing, spreadsheet, and data entry skills; knowledge of MS Word, Access, and Excel required; knowledge of Photoshop and PowerPoint preferred; ability to learn ARGUS Open Edition.

*High level of analytical, research, problem-solving, and organizational skills; strong written and verbal communication skills.

*Ability to work independently, determine priorities, and follow through on projects.

*Ability to interact diplomatically with diverse groups of people; establish and maintain positive and effective working relationships with staff, visitors, representatives of other museums, visiting artists, the general public, and outside organizations and groups.

*Good judgment, tact, discretion, and confidentiality; flexible and resourceful.

COMPENSATION

$20.20-24.26/hr. with excellent benefits package*
