Procedures for the supervisor
When a wage employee separates from the University, there are certain procedures to be completed by the supervisor and the employee. Please follow these guidelines to ensure compliance with University separation policies.
UPON NOTIFICATION OF UPCOMING SEPARATION:
1. When you are aware that a wage employee will be separating from the University, give him/her a copy of the Wage Employee Separation Checklist for employees, and discuss the separation procedures. This checklist outlines the employee's obligations before leaving the University.
2. Ensure that the Office of Human Resources is notified immediately of the employee's intended separation (phone call or email). The original letter of resignation should then be forwarded to the HR office with the intended last day of employment. The supervisor should retain a copy of the resignation letter.

ON OR BEFORE THE EMPLOYEE'S LAST DAY OF EMPLOYMENT:
3. To ensure the completion of all necessary paperwork and the return of University property, remind the employee to do the following before separating from the University:
- Clear all accounts with the Office of Business and Finance, Bookstore, University departments, etc.
- Return all library materials to the Library and pay any fines.
- Return pager, radio, telephone calling card, credit cards for travel or purchasing, uniform and any other items or equipment that were issued by the University to you.
- Turn in all University keys to the Locksmith in the Office of the University Police.
- Provide a forwarding address (if applicable) to both the Payroll Office and the Office of Human Resources, AA/EEO. W-2 forms will be mailed to the current address.
4. Take some time to meet with the wage employee and get feedback about his/her work experience at UMW. This may provide you with useful information for future wage employees. Encourage the employee to complete a UMW exit interview online or in person. Ask him/her to follow up with HR for to schedule an appointment or for details on the on-line survey.
ON THE LAST DAY OF EMPLOYMENT
5. Complete the Wage Employee Separation Report with your signature and the employee's last day of employment. Submit this document to the Office of Human Resources.
