UMW Correspondence Style Guide

In response to questions frequently asked about grammar and style for business correspondence, the UMW Correspondence Style Guide was created. The purpose of the document is to provide guidance for administrative assistants and all University staff who regularly process letters, memoranda and other business correspondence. It is hoped that use of the guide will provide a consistent look for documents sent from Mary Washington. Quality communications can project the University’s strong reputation and assist in attracting the best students, faculty and staff.

The committee that compiled the guide represented a wide array of campus constituencies and drew upon extensive research to produce the guide. The publication is comprehensive, including recommendations on grammar and style as well as sections on formal invitations, letter styles and forms, proofreading guidelines and more. While the guide is extensive, it does not answer every question, and a list of resources is included to assist users when further research is necessary.

Please remember the publication is a guide, not a mandate. However, the goal of the guide is to ensure that all external communications will convey a consistent image and reflect well on the University.
