Final grades are entered into the University’s online system, Banner, at the end of the semester.  Grades must be entered by the specified deadlines.  Instructions related to entering grades are provided during the orientation session.  Specific step-by-step instructions will also be provided again at the end of the terms.

FERPA

It is important that all faculty be aware of the federal legislation known as the Family Educational Rights and Privacy Act (FERPA).  FERPA requires the confidentiality of all postsecondary educational records regardless of student age. Therefore, faculty cannot legally discuss a student’s attendance record, grades, or other course-related information with the student’s family members or employer.  If a student indicates that he/she does not mind if faculty discuss course-related information with a family member or employer, the student must convey this consent in writing.  A copy of the documented consent is maintained by the faculty member and the program director.

Incomplete Grades

Incomplete grades are issued on a case-by-case basis when students cannot completeassigned work and/or the final examination for a particular course due to unforeseen circumstances, e.g., illness, natural disaster, or family catastrophe. A grade of I is issued in lieu of an actual grade for the course. To secure permission for an incomplete grade, the student and faculty member must file an Incomplete Grade Contract clearly stating the reason for the incomplete, the work to be completed, and the due date. The incomplete grade contract must be approved by the appropriate program director and filed with the Office of Advising Services and the Office of the Registrar.  Students must drop any course for which the incomplete course is a prerequisite. Students must complete the coursework by the specified contract date, or a grade of F will automatically be applied to the course after the completion deadline has passed, assuming the faculty member submits no other grade.
