Assign a Proxy
You may already be familiar with managing your personal schedule in the Groupwise calendar. But did you know that you can act as someone’s proxy and manage their calendar when proper permissions have been assigned? You can also manage their Mailbox.
As a proxy, you can perform various actions on behalf of another user such as; reading, accepting, and declining mailbox items and entering items into their calendar; however, two steps must be completed in order for you to become a proxy.
Step 1: Add a User to the Proxy Access list and Assign Proxy Rights
Proxy access must be assigned. Proxy access enables the proxy to open the other person's calendar, while logged in to his or her own GroupWise account, without knowing the other person's GroupWise user ID and or password.
The person for whom you will act as proxy must add you to their Access list and grant you rights through the Proxy Access tab. To do this, select Tools on the Menu bar, then Options, then double-click Security to launch the Security Options window.
Select the Proxy Access tab. To add a user, click the Address Selector icon.

Look for a specific user using the Look For and Match fields. Select a user and click the Select Address button to add them to the Selected list. Notice that more than one user can be added. Click the OK button.
The user now appears in the Access list and Access Rights can be assigned. Each user in the list can be given a specific set of rights which determine the extent to which the proxy can manage the person's account. For example, the proxy might be given rights to read and write (send) all item types or be given rights to read calendar items (appointments, tasks, and notes) only.
The following describes user rights.

Change the options in your Mailbox. The proxy can edit any of your Options settings, including the access given to other users. If the proxy also has Mail rights, he or she can create or modify rules and folders. This right allows a proxy to add, delete, and modify categories. |
Read Items Marked Private |
Read the items you marked Private. If you don't give a proxy Private rights, all items marked Private in your Mailbox are hidden from that proxy. |
Step 2: Add a User to the Proxy list
If Step 1 has been completed, and you have been assigned Proxy Rights, you can now add the user for which you will be a proxy to your Proxy list. Adding them to your Proxy list will allow you to perform various actions on their behalf such as: reading, accepting, and declining Mailbox items, and entering items into their calendar.
To do this, select File from the Menu bar and choose the Proxy option. Use the Address Book to add them to your Proxy list.

Switch to another User’s Calendar
When Steps 1 and 2 have been completed, you can begin managing other calendars in which you have access rights by either selecting the person’s name from the Proxy list or by selecting their name from the Online drop-down list (
) located in the left window pane.
Notice that Online will change to Proxy indicating that you are managing another user’s calendar. If you want to switch back to your own calendar, click the Proxy drop-down button and choose your name from the list.
Multi-User Calendar View
You can also view several calendars at once by clicking the Multi-User Calendar icon(
). As always, in order for you to manage the schedules of users, you must have proxy rights and the other user’s name must be included in your Proxy list (see Assigning a Proxy, Steps 1 and 2).
