Cisco VoIP Phone Usage Guide


Getting familiar with your new Cisco phone

Manufacturer information about your new Cisco VoIP phone is available here:

. Please note that some features may not be available in the University environment.

You should pay special attention to key navigation tips involving the following items while viewing the manufacturer information:

Messages - Will direct you to the Voicemail Service.

Directory - Will display the directory menu. Items included in the directory are: Missed, Received, and Placed calls.

Settings - Allow you to personalize your phone. Options included in settings are: display contrast, ring type, and ring volume.

Volume Control - During a call, use the volume control to increase or decrease the volume of the handset and speaker phone.

Services - Allow you to access My Address Book and My Speed Dials.

Scroll - Will help navigate through the directories and settings.

Soft Keys - Will change depending on the state of the phone is in (in or not in use)


MAKING EMERGENCY CALLS FROM UNIVERSITY LOCATIONS USING THE NEW PHONES

If you are using a Cisco phone and need to make a 911-type call, here's how you do it:

  • On the Fredericksburg campus, dial "777" or "7777" to reach the University Police Department
  • From the Stafford Campus (CGPS) or from Centre Court, dial "9" and "911" or just dial "911" and you'll be connected to the appropriate emergency responders.

ACCESSING OUTSIDE LINES

  • Lift the Handset and dial the number preceded by ‘9’  OR
  • Press the Line, Speaker, Headset, NewCall buttons and dial the number preceded by ‘9’.

Placing a Call on Hold:

  • During a call, press the Hold soft key.
  • To return to the call, highlight the call and press the Resume soft key.

Parking a Call:

  • During a call, press the Park soft key.
  • Call parked at will display on bottom of phone with number call is at.
  • To get the call back, from any phone, take the phone offhook and enter the number the call was parked at.

Transferring a Call:

  • Press the Transfer soft key (This will put the caller on hold automatically).
  • Dial the number to which you are transferring the call.
  • When you hear ringing press Transfer button OR wait to announce call then press Transfer a second time.
  • To retract the transfer, press End Call prior to the final transfer (during announcement).

Using Corporate Directory:

  • Press the Directory button.
  • Select Corporate Directory.
  • Enter a portion of the name and press Search.
  • Select the user and press Dial.

Forwarding Calls:

FROM YOUR UNIVERSITY PHONE:

  • Press the CFwdAll soft key.
  • Dial the number to which you want to forward all calls OR
  • Press the Messages key to forward to Voicemail.
  • To end call forwarding, press the CFwdAll key.

WHEN YOU ARE AWAY FROM YOUR UNIVERSITY PHONE:

Some faculty and staff are not likely to be present during the spring-summer months when the changeover to the new Cisco phones takes place. If you need to forward your phone number to another local phone (i.e., to another University office, to your home phone or to your local cell phone) and you don't have physical access to your new Cisco phone, please send an e-mail request to an address we've set up for this purpose: cfrequest@umw.edu.

Your message should contain your current phone number and the local number to which you want calls originally placed to your University phone number forwarded. You can also request this service by calling the University's technology help desk at 540-654-2255.

Conference Calls:

  • During a call, press the More soft key and then the Confrn soft key. 
  • Call the other party.
  • When the call connects, press the Confrn soft key again to add this party to the call.
  • Continue the previous steps to add additional parties to the conference call.

Call History:

  • Press the Directories button to  display the directory menu.
  • Use the Scroll key to highlight the desired history then press the Select soft key.
  • Use the Scroll key to highlight the desired number then press the Dial soft key place a call.

Extension Mobility:

  • Press the Services button.
  • Highlight Extension Mobility and press the Select soft key.
  • Input UserID and PIN, then press the Submit soft key.
  • After “Login Successful” is displayed, the phone will reset.
  • Logout by again pressing the Services button and then selecting the Logout soft key. The phone will then reset.

Picking up a call from another phone in your group (if you've been configured as part of a call pickup group):

  • Take your phone offhook.
  • Press more and press PickUp to get the call on your phone.
  • Press Answer to receive the call.

Setting up your voicemail From Your New University Phone:

  • Press the Messages button.
  • Enter the initial password (112233), followed by #
  • Set your recorded name, following the instructions given.
  • Enter your new password, following the instructions given.

Setting up your voicemail Remotely From another Phone:

  • Call your office phone.
  • When the call goes to voice mail, press the * key
  • You will be prompted for your ID (the last 4-digits of your phone number) followed by #
  • You will be prompted for your initial password (112233) followed by #
  • Set your recorded name, following the instructions given.
  • Enter your new password, following the instructions given.

TO CHANGE THE TIME ON YOUR IP PHONE:

  1. Press the settings button on your phone.
  2. Scroll to number 3 (Device Configuration).
  3. Press **#** (star star pound star star).
  4. This will reset your entire phone and takes several seconds to complete but once complete your time will be corrected.

To access your voice mail when not at your office phone:

  1. Call your office phone
  2. When the call goes to voice mail, press the * key
  3. You will be prompted for your ID (4-digit phone number) followed by #
  4. You will be prompted for your password followed by #

Automatically Forward Calls to Voice Mail:

It's a good idea to call forward your phone to voice mail when leaving your office to minimize the number of rings before it goes to voice mail:

  1. Press the CFwdALL softkey
  2. Press the messages key (the one with a picture of an envelope)

To remove call forward, just press the CFwdALL key.
