Cancellation after registration but prior to payment and involving no residence hall room reservations will not incur any charges provided that prompt notification is given as directed below.
Cancellation after payment by check and involving no residence hall room reservations will result in a refund of the amount paid minus a $5 payment processing fee. Residence hall room reservations paid by check and cancelled before 5 PM on April 29 may be refunded as part of this procedure.
Cancellation after payment by credit card and involving no residence hall room reservations will result in a refund of the amount paid minus a 2.75% credit card processing fee and minus a $5 payment processing fee. Residence hall room reservations paid by credit card and cancelled before 5 PM on April 29 may be refunded as part of this procedure.
Residence hall room reservations not cancelled by 5 PM on April 29 must be paid in full and no refunds will be issued.
Cancellation notifications should be sent as early as possible via email to aconway@smv.org. All refunds will be assessed and processed by the Virginia Academy of Science.
To obtain a refund, please make your request via email to aconway@smv.org no later than May 23. Please provide the reason for the refund request, evidence of payment, person or entity to whom the refund check should be made out, and the address to which the check should be sent.
